Overview
Share links give clients, partners, and collaborators a live, view-only version of your calendar. A share link always reflects the current state of your schedule. You can create as many links per calendar as you need, each with its own name and settings.
Creating a link
Select Share at the top of the calendar.
Choose New share link.
Name the link so you know who it's for, like "Client link" or "Vendor link."
Choose its settings, then select Create link and Copy to send it.
Link settings
Each link has four settings:
Allow viewers to customize their view. Recipients can adjust size, colors, and filters for themselves. Their changes are private and never affect your calendar.
Allow downloads. Recipients can export the calendar as a PDF or PNG and download list data as a CSV.
Show or hide internal events. Choose whether to show or hide events marked as internal. Leave this off for client-facing links.
Show notes. On by default. Turn it off to keep calendar notes off this link. Internal notes always follow the internal events setting.
Editing a link
Open Share, expand a link, and change its name or settings. Select Save to apply. Changes take effect immediately for anyone using the link, and the URL stays the same.
Revoking a link
Expand the link and select Revoke. Access ends immediately. Other links on the calendar keep working.
A common setup
Many teams keep two links per calendar: a client link with internal events hidden, and a team link with internal events shown for freelancers and partners who need the full picture.
Link previews
When you paste a share link into Slack, iMessage, or similar, it expands with your calendar's name, like 'Soar Airlines β Workback Production Calendar'. Anyone who can see the pasted link can see the project name, so name projects accordingly for confidential work.
